Position Summary
The Associate Producer & Programming Assistant is an organizational engine for The Rhythm Foundation’s artistic department. This dual-faceted role provides high-level administrative support to the Programming Director while serving as an internal producer for in-house concert series and community programs. The ideal candidate is a highly organized “connector” who can move a show from a confirmed offer to a fully realized event by synchronizing marketing, operations, and artist logistics.
This position oversees a portfolio of in-house productions at the Miami Beach Bandshell and the Hollywood ArtsPark, including the North Beach Social series, Arts in the Parks, the Miami Beach Youth Music Festival, and the venue’s Roller Discos.
Essential Duties and Responsibilities
Programming Support & Show Development
- Offer Administration: Assist the Programming Director in drafting event budgets and formal offer sheets for touring talent.
- Show Confirmation: Monitor the status of pending offers; verify that contracts are finalized and executed before initiating logistics.
- Creative Producing: Build out supporting elements for in-house shows, including booking local opening acts, sourcing specialty vendors, and coordinating community activations.
- Talent Scouting: Maintain and update the organization’s robust database of touring artists, agents, and locally-based performers for community series like North Beach Social and Arts in the Parks.
Marketing & Partner Liaison
- Asset Management: Act as the bridge to the Marketing team; secure all necessary artist assets (high-res photos, bios, videos) immediately upon show confirmation.
- Promotional Planning: Assist Marketing in developing tailored outreach plans and identifying relevant community partners to drive attendance.
- Database Management: Maintain an active database of cultural and community partnerships in Airtable (or similar tools) to ensure consistent outreach.
Logistics, Permitting & Documentation
- Artist Travel: Manage all artist travel logistics, including flight bookings, hotel room blocks, and local ground transportation.
- Permitting: Lead the municipal permitting process for in-house events, when infrequently needed, ensuring all city and venue-specific requirements are met.
- Compliance: Collect and organize all artist and vendor documentation, including COIs (Certificates of Insurance) and tax forms (W-9/W-8).
- The Technical Hand-off: Formally connect the organization’s Operations and Tech teams with the Artist’s team to begin the production advance.
Settlement & Administration
- Financial Wrap-up: Assist in closing out show settlements by actualizing travel costs, vendor payments, and artist fees.
- Resident Company Support: Provide administrative and logistical support for the organization’s resident companies and their scheduled performances, as needed.
Qualifications
- Experience: 3–5 years of experience in arts administration, event production, or talent coordination.
- Organizational Skills: A “project management” mindset with the ability to manage multiple shows in different stages of development simultaneously.
- Administrative Rigor: A high level of comfort with documentation, “paperwork,” and tracking deadlines.
- Software Literacy: Proficiency in Google Workspace. Experience with Airtable is a plus but not required.
- Industry Knowledge: A passion for global music and a growing knowledge of the South Florida arts landscape.
- Soft Skills: Exceptional interpersonal skills; ability to communicate professionally with high-profile agents, local artists, and city officials.
- Language: Bilingual (English/Spanish) is preferred, but not required.
Physical Requirements & Working Conditions
- Ability to work on-site at the Miami Beach Bandshell and Hollywood ArtsPark.
- Flexibility to work evenings and weekends during the “heavy” concert season.
- Must be comfortable in a fast-paced, collaborative, and outdoor environment.
Production Manager

Position Summary
The Production Manager is responsible for leading the production planning and coordination of performances and events at the Miami Beach Bandshell, with support from the Miami Beach Bandshell operations team. This role serves as the primary liaison between the venue and incoming touring artists, independent producers, and community partners. The ideal candidate acts as a “shepherd” for the production process, guiding external teams through the unique requirements of our historic, open-air venue to ensure a seamless and high-quality experience for both artists and audiences.
Essential Duties and Responsibilities
Production Planning
- Production Advancing: Lead the production advance for all shows (4–6 weeks out), reviewing technical riders, backline requirements, and hospitality needs.
- Process Management: Guide producers through the venue’s specific production workflow, from initial site visits to final load-out.
- Scheduling: Develop and manage “Day of Show” schedules, ensuring all soundchecks, rehearsals, changeovers, and media engagements are executed efficiently. Coordinate scheduling of crew for events, ensuring staffing levels align with the production advance and budget.
- Conflict Resolution: Serve as the primary point of contact for technical problem-solving, balancing artist creative needs with venue capabilities and local noise ordinances.
- Vendor Management: Source and oversee third-party vendors for backline, heavy machinery, or specialized equipment rentals.
- Sustainability: Ensure all productions comply with the venue’s “Plastic Free” and environmental sustainability initiatives.
Administration & Budgeting
- Budget Tracking: Manage production-specific budgets, providing accurate labor and equipment estimates for internal programming and external rentals.
- Event Settlement: Facilitate post-event reporting, including actualizing labor costs and documenting any technical or facility issues for the operations team.
- Documentation: Maintain and update the “Venue Technical Specs” documents.
Qualifications
- Experience: 3 – 5 years of professional experience in live event production management, preferably in a performing arts center or outdoor venue. Post-secondary degree in event/production management preferred but not required.
- Technical Skills: Working knowledge of professional audio, video and lighting systems. Ability to read and interpret technical riders, stage plots, and input lists.
- Communication: Exceptional interpersonal skills with the ability to navigate high-pressure situations with diplomacy and professionalism.
- Language: Bilingual (English/Spanish) is highly preferred, but not required, given the Miami market and international touring schedules.

- Must be able to work in an outdoor, open-air environment in varying weather conditions.
- Flexibility to work nights, weekends, and holidays according to the performance schedule.
